ITEC Policies

Complaints Procedure


1. If a complaint is received from a learner on one of the ITEC’s apprenticeship programmes the ITEC Grievance Procedure outlined in the Training Agreement (TA) may be followed and this in itself may deem the matter complete.

2. If a complaint is received from a learner or client, the following initial action is to be taken:-

a) The complaint is to be passed to the General Manager or, in his absence, the Deputy Manager. The General Manager will raise a Complaints Form (CPF) to track the complaint.

b) If the complaint is against the ITEC and its practices, the General Manager may ask a member of staff to investigate or may deal with it directly.

c) If the complaint is against an individual member of staff the General Manager will request a report from that member of staff and/or may ask an uninvolved staff member to investigate.

d) If deemed necessary, on receipt of the complaint the General Manager will write an initial letter to the complainant, acknowledging receipt and promising to write later when the requested reports have been received. If, however, the General Manager has the necessary information, a full reply may be made at this point.

3. Once reports are received and investigations completed, the General Manager may call a meeting of selected staff or may consult with the Chair of the Board of Trustees to decide on a course of action. The resulting decision may require further investigations to be made.

4. When all reasonable action has been taken to arrive at the facts of the complaint, the General Manager will send a written reply to the complainant, explaining the facts that have been established and the action the ITEC intends to take, if any.

5. Where a complaint is substantiated and the ITEC can take action to avoid a re-occurrence, that action will be taken and the effect will be reviewed at a reasonable interval thereafter.

6. The completed Complaints Form (CPF) with all accompanying documents attached will be filed in the ‘Complaints File’ in the General Manager’s Office.

Confidentiality Policy


Record-Keeping, Confidentiality & Privacy Policy


ITEC Learning Technologies uses the information from our customers, potential clients and visitors to our web site to improve our services to you. We respect your privacy and we take it very seriously.

Information is collected when you make an enquiry, whether by telephone, in person or via the web site. This information includes your personal details including your name, address, contact details and details about the service you require. This enables us to respond to your enquiry in an informed manner to provide a better service to you.

By using our enquiry service, whether by telephone, in person or via the web site, you are consenting to the collection of your personal details by ITEC Learning Technologies.
We do not share this information with any other organisations with 2 exceptions.

In the event that Government funding is utilised to deliver the service to you, we may need to share your information with the Government funding agents, for example, Essex Learning & Skills Council, as part of our contractual reporting.

In the event that you may need a service that we are unable to offer we may be able to refer you to another organisation. In this case, you will be consulted before the referral is made and be given full details of the referral organisation before we contact them.

Our enquiry records are kept for a maximum of 1 year and our service delivery records are kept from between two and five years depending upon the service delivered and whether government funding has been used.

Environmental Policy


We recognise that all businesses impact on the environment in a variety of different ways. As such we are committed to the continual improvement of our environmental performance in relation to our services and operations.

We have identified the following key environmental impacts associated with the development and delivery of projects and the provision of project support to local authorities, schools, businesses, community groups and members of the public.

Consumption of energy, water and other resources
Transport issues relating to travel to work and meetings

The company is committed to reducing these and other impacts and to the continual improvement of our environment performance and to help achieve this, we have registered as members of the Business & Environment Management Scheme. (Membership Number; 4008)

As members we are committed to work with our staff, customers, suppliers, contractors, regulatory bodies and neighbours to:

Meet and where possible exceed all environment regulations relevant to our organisation and its activities
Increase cost-effectiveness by reducing our consumption of energy and materials
Reduce waste, pollution and noise both locally and in the wider environment
Systematically assess all aspects of our company
Set targets for measurable annual improvement
Make our progress available for independent assessment
It is the responsibility of all employees, visitors and contractors to fully support this policy through active participation and co-operation.

This environmental policy will be displayed at all times and is openly available to all members of the public via our website www.iteclearntech.co.uk

The introduction and implementation of this policy is a commitment of management and a shared responsibility with our employees. The policy will be updated as appropriate as part of the company’s annual review.

Health & Safety Policy


Our policy and commitment is to provide and maintain safe and healthy working conditions, equipment and systems of work for all our employees and trainees and to provide such information, communication, training and supervision as they need for this purpose so far as is reasonably practicable.

We also accept our responsibility for the health and safety of others who may be affected by our activities so far as is reasonably practicable.

The organisation for carrying out the policy and the allocation of duties for safety matters are set out in the ITEC’s organisation chart.

All employees have the responsibility to co-operate with supervisors and managers to achieve a healthy and safe workplace and to take care of themselves and others so far as is reasonably practicable. When visiting sub contractors premises, ITEC staff are mindful of our commitment that they meet the Learning and Skills Council health and safety requirements.

The policy will be kept up to date particularly as the business changes in nature and size. To ensure this, the policy and the way in which it has operated will be reviewed at least annually and the revised policy brought to the attention of all employees.

Regular consultation between directors, management and employees will be provided by staff meetings in dealing with new regulations or health and safety problems.

It is also our policy that where an employee or trainee fails to observe safe working practises at work, action will be taken against them in accordance with ITEC Learning Technologies’ disciplinary rules and capability guidelines.

NVQ Appeals Procedure


NVQ APPEALS PROCEDURE FOR CANDIDATES

This does not effect any candidates’ rights under the Grievance Procedure outlined in their training agreement and is designed to complement this procedure. As with the Grievance Procedure, during any stage of the NVQ Appeals Procedure the candidate is entitled to be represented by a person of standing or have a fellow candidate present.

All candidates who are being assessed by an ITEC Approved Assessor for any NVQ award have the right to appeal if they disagree with an assessment decision. In the event of a dispute the following stages should be followed:-

Stage 1

The candidate should appeal in writing to the Approved Assessor clearly stating the points of disagreement and the evidence in the portfolio which the candidate believes meets the requirements of the performance criteria, knowledge and range for claiming competence. The main reasons for appeal are likely to be that the candidate does not understand why he/she is not yet competent due to unclear feedback or the assessor has mis-interpreted the evidence. The assessor will meet with the candidate within 10 working days and go through the assessment process, clearly explaining the findings. The assessor will confirm the findings in writing to the candidate.

Stage 2

Candidates who are not satisfied with the outcome from stage 1 can then appeal in writing to the Internal Verifier. The appeal does not need to contain the detail given before as the documents from stage 1 should be passed to the Internal Verifier. The Internal Verifier will meet with the candidate and the assessor within 10 working days and will confirm the findings in writing to the candidate.

Stage 3

To proceed to stage 3, the candidate must have exhausted all of the internal appeals procedures of the ITEC. Candidates who are not satisfied with the outcome after stage 2 may then appeal in writing to the Awarding Body. At this point the Awarding Body’s Appeals Procedure will be followed and will involve the use of all the reports from stages 1 and 2. The Appeals Procedure is published in your candidate pack or log book and should involve an investigation by the External Verifier and a decision made by at least one nominated independent person (i.e. not a member of any committees or an employee of the Awarding Body). The Awarding Body’s decision will be final and the appeal will be deemed as closed.
